If the airline damaged or lost it

Report the problem before leaving the airport. The European Consumer Centre in Spain advises passengers to notify the airline or its handling representative immediately when checked baggage is lost, delayed or damaged. Ask for the property irregularity report or equivalent record and keep every document.

Photograph the damage, baggage tag and contents. Keep receipts for reasonable essential purchases and follow the airline's written claim process. Do not throw away the damaged case until the airline or insurer confirms what evidence it needs.

  • Report at the airport before leaving.
  • Photograph the suitcase, tag and damage.
  • Keep the report number and all receipts.
  • Check airline, travel-insurance and card-insurance procedures.

If everything appears closed

Solve the next twelve hours, not the next twelve years. A luggage strap, wrapping service, strong tape or a cheap temporary bag may be enough to reach the following trading day. Airport, station and convenience retail can have different hours from normal city shops.

For clothing and toiletries, ask the accommodation for the nearest currently open supermarket, pharmacy, shopping centre or convenience store. Staff solve this question more often than the internet admits.

Repair or replace?

Wheels, handles and zips may be repairable at luggage, shoe-repair or key-cutting services. Search by the damaged part and call before travelling. If the shell is split or the frame is unsafe, replacement may be more sensible.

Do not buy an expensive replacement before checking what the carrier or insurer will reimburse. Panic is an enthusiastic personal shopper.

A tiny future-proof kit

Keep medication, one change of underwear, chargers, documents and essential toiletries in hand luggage. Photograph the checked case before departure and place contact details inside as well as outside.

This advice is not glamorous, but neither is wearing the airport outfit for a third consecutive dinner.

Delayed, damaged and missing are different claims

Delayed baggage creates a need for reasonable essentials while you wait. Damaged baggage creates a repair-or-replacement question. Missing baggage may eventually become a loss claim. Use the airline's correct category and deadlines rather than sending one magnificent email labelled 'Everything has gone wrong'.

Write down each contact, save screenshots of status updates and keep purchases proportionate to the situation. Clear evidence is much more persuasive than the perfectly justified emotion generated by an empty carousel.
